New Member Paper work

 

  1. When the parents of a prospective youth member contact the group leader it is advisable to arrange an interview with the parent to discuss the purpose of the scout movement and make the parent aware of our desire that they also become involved in the group

 

  1. At the meeting the parents should complete a

·        Y1 - Application for Youth Membership form and health form

·        M5 - Prohibited Employment Declaration for each parent

 

  1. After visiting for 2~4 weeks if the child is still happy with the section, notify the parent that investiture is expected to be with in the next few weeks, and they need to buy a uniform and that fees will be expected.

 

  1. Notify the treasurer to invoice the family.

 

  1. After investiture forms should be copies and distributed

·        One copy for the section leader

·        One copy for group leaders files

·        One copy for the region office

  • Scout forms are available from the NSW Scout web site under forms
  • Uniforms available from Clothing Pool or Snowgum Westfield Parramatta (Scout Shop)

 


 

Hall Rental One-Off

 

Costs

Rental               $150.00           Upfront payment for Full day (24 Hrs) or Part Day.

Bond                $150.00           Refunded after hall inspections and return of Key.

 

Procedure

Before- at least 1 week

  1. Inspect hall with client.
  2. If hall is acceptable and clients are happy with the Hall Rules have the clients complete 3 copies of scout form P2 Hire of Scout Premises: One-Off Use.
  3. Collect complete contact details for the clients
  4. Collect the forms and money and counter sign each form.
  5. Leave one form with the clients
  6. Send one copy to Branch HQ
  7. Keep one copy, with contact details and deposit on hand.
  8. Forward rental to treasurer and arrange receipt

On the day

  1. Meet clients at the hall at the required time with a key
  2. Inspect hall with clients, get tables and chairs out open kitchen if required etc

After

  1. At the appointed time, meet at the hall with the clients
  2. Inspect hall, kitchen, rubbish etc
  3. If clean and tidy and undamaged refund the deposit, if not notify group committee so that quotes may be obtained for cleaning or repairs and balance of deposit can be returned later.
  4. File paper work with Group Leader
